Employee Referral Program

At Vodia, we have found that employee referrals are an effective way for recruiting top-notch employees.

If you refer a person who then is hired and remains in the job for at least six months, you may receive a reward up to $4,000, less applicable taxes. To receive this reward, you must be employed by Vodia Networks when the reward payment is made.

Who Can Make a Referral?

You are eligible to make an employee referral if you are not involved in the hiring process for the referred candidate. Human Resources staff members are not eligible.

What types of jobs are eligible for this reward program and what is the reward?

  • administrative positions—$1,000
  • all informational technology professional positions—$2,000
  • executive positions—$4,000.

Who Can Be Referred?

Candidates are eligible for employee referral provided they:

  • are not currently employed by Vodia Networks in any capacity, including temporary, casual hourly or student workers;
  • have not been referred previously by someone else; or
  • have not previously applied for a position at Vodia Networks.

Candidates must demonstrate that they have:

  • the required qualifications,
  • a good employment record; and,
  • in the case of office and administrative support staff, proficiency in using Microsoft Office.

The director of staffing will make the final determination regarding eligibility after the candidate applies and the application or resume has been received.

How Do I Refer Someone?

The process of referring a candidate is simple. Write a one-page letter with the following information:

  • Your name,
  • your phone number,
  • your email address,
  • candidate's name,
  • candidate's phone number,
  • candidate's email address,
  • relevant job description.

Then sign it and submit it to Human Resources. If you refer more than one candidate, you need to complete a separate form for each person.

The applicant may also indicate that you referred them when they submit their own application, as part of their coverletter.

When am I Eligible to Receive the Referral Reward?

The referral reward will be made as a taxable, additional payment and will be included in your regular paycheck.

You are eligible to receive the reward:

  • if you submitted your referral form prior to the time the candidate is offered an interview or the candidate indicated your referral on the online application;
  • when the person you referred is hired into a position included in this program; and
  • after the person you referred is employed for six months.
  • You must be employed by Vodia Networks when the payment is made, normally soon after the person you referred has been in the job six months.

What if I Know Someone to Refer but the Position is not Eligible for a Referral Reward?

Even though not all positions at Vodia Networks are not included in the employee referral program, we encourage you to refer them because we believe that employee referrals are one of the most successful ways to attract talented people.

Please review the following policies regarding employment of family members or individuals with whom you have a personal relationship.

Employment of Members of the Same Family or Household

Vodia Networks permits the hiring within the community of individuals of the same family or those who have a personal relationship. However, hiring within the same department normally is prohibited for individuals of the same family or for those who have a personal relationship.

Exceptions to this policy should be reviewed and approved by the CEO.

Additionally, to avoid a conflict of interest or an appearance of conflict of interest, no employee may initiate or participate in, directly or indirectly, decisions involving a direct benefit, e.g., initial hire or rehire, promotion, salary, performance appraisals, work assignments or other working conditions to those related by blood or marriage, membership in the same household, including domestic partners, or persons with whom employees have an intimate relationship.

Nepotism and Personal Relationships in the Workplace

Additionally, to avoid a conflict of interest or an appearance of conflict of interest, no employee may initiate or participate in, directly or indirectly, decisions involving a direct benefit, e.g., initial hire or rehire, promotion, salary, performance appraisals, work assignments or other working conditions to those related by blood or marriage, membership in the same household, including domestic partners, or persons with whom employees have an intimate relationship.

The potential for conflict of interest may also exist in close personal relationships which involve other than family relationships. Vodia Networks views such conflicts of interest as seriously as it does those involving family members or blood relatives.

Definition of Relationships

To avoid a conflict of interest or appearance of a conflict of interest, the definition which is covered by this policy, should be interpreted very broadly.

In considering whether a relationship falls within this policy, all employees are urged to disclose the facts if there is any doubt rather than fail to disclose in cases where a relationship exists or existed in the past.

Additionally, this policy applies to all types of hire and employment.

All employees are responsible to raise potential issues to the attention of their supervisors.

Consensual Romantic or Sexual Relationship

Conflict of interest also exists when there is a consensual romantic or sexual relationship in the context of employment supervision or evaluation. Therefore, no supervisor may influence, directly or indirectly, salary, promotion, performance appraisals, work assignments or other working conditions for an employee with whom such a relationship exists.

Supervisors involved in a consensual romantic or sexual relationship, in the context of supervision, must discuss the matter on a confidential basis with their own supervisor or with Human Resources to assess the implications for the workplace and make arrangements to ensure that employment-related decisions are made in an appropriate and unbiased setting.

Although both employees involved in a consensual relationship are individually responsible for disclosure, a supervisor's failure to report such a relationship will be regarded as a serious lapse in the management of the workplace and grounds for appropriate disciplinary action, including termination (particularly in cases where bias or harassment has occurred in connection with a benefit).

Supervisor's Responsibility

A supervisor bears an affirmative responsibility for sustaining a positive workplace environment and one which is conducive to the professional growth of all employees.

A supervisor must be regarded as trustworthy and fair for such an environment to exist. It is important to understand that, even when arrangements have been made to minimize conflicts of interest regarding particular employment-related decisions, it is necessarily more difficult for a supervisor to be fair when a close relationship exists with an employee.

Disruption to the workplace can be particularly acute when a sexual or romantic relationship involving a supervisor is known to exist but cannot be discussed openly.

Supervisors should also understand that even in a consenting relationship there are substantial risks of charges of sexual harassment or favoritism when supervision is involved.

Report of Relationship

Supervisors who receive a report that someone who reports to them is involved in a consensual romantic or sexual relationship with an employee the supervisor supervises will be expected to speak confidentially with the person(s) involved. If the relationship exists, appropriate steps should be taken to ensure that decisions are made in an unbiased setting.

Resources

Individuals who have questions or are uncertain as to the application of this policy should speak in confidence to Human Resources.

Other Things You Should Know

Vodia's Human Resources reserves the right to make the final determination about candidate eligibility, including whether they are qualified for positions designated within the program. In the event an applicant is referred by more than one employee, or by an employee and an employment agency, the deciding factor will be the date of receipt of the referral to Human Resources.
